These Terms & Conditions apply to all children attending Fleet Town FC Football Camps, which are operated by Fleet Town Football Club Ltd. FTFC Summer Camps and Fleet Town FC Football Camps are trading names of Fleet Town Football Club Ltd.
By making a booking, the person completing the booking confirms that they are authorised to do so and agrees to these Terms & Conditions on behalf of the parent(s)/guardian(s) and the participating child.
1. General
1.1 Fleet Town FC Football Camps are organised and operated by Fleet Town Football Club Ltd.
1.2 The Camp is designed to provide a safe, enjoyable, inclusive and football-focused experience for children.
1.3 All children, parents/guardians, staff, coaches and volunteers are expected to behave respectfully and follow these Terms & Conditions.
1.4 The Club reserves the right to update or amend these Terms & Conditions when required.
2. Eligibility
2.1 Children must fall within the advertised age range for the Camp.
2.2 Parents/guardians must provide accurate information during the booking process.
2.3 The Club reserves the right to refuse or cancel a booking where incorrect, incomplete or misleading information has been supplied.
3. Bookings and Payment
3.1 Full payment is required to secure a place unless otherwise stated.
3.2 Places are allocated on a first-come, first-served basis.
3.3 All bookings are subject to availability.
3.4 Bookings are non-transferable without prior written agreement from the Club.
3.5 Late bookings may be accepted at the Club’s discretion, subject to availability, staffing and operational requirements.
4. Booking Amendments
4.1 Booking amendments may be requested but cannot be guaranteed.
4.2 Where at least 7 full days’ notice is provided, the Club may allow a booking to be moved to an alternative available Camp date.
4.3 Bookings cannot be moved after the Camp has started.
4.4 The Club is not obliged to provide refunds or credits where a child does not attend a booked session.
5. Cancellations and Refunds
5.1 Parent/guardian cancellations:
- More than 14 full days before the Camp date: full refund or credit, less any booking or administration fees.
- 7 to 14 full days before the Camp date: 50% refund or credit.
- Less than 7 full days before the Camp date: no refund or credit.
5.2 No refunds will be given for non-attendance, illness, injury or a child choosing not to participate once the Camp has commenced.
5.3 The Club may offer a credit or transfer at its discretion.
5.4 If the Club cancels a Camp, parents/guardians will be offered a full refund, credit or alternative date.
6. Medical Information
6.1 Parents/guardians must disclose all relevant medical, welfare and care information, including:
- Medical conditions.
- Allergies.
- Dietary requirements.
- Medication needs.
- Additional needs.
- Behavioural, emotional or support requirements.
6.2 Parents/guardians are responsible for ensuring that the information provided is accurate and up to date.
6.3 The Club reserves the right to exclude a child from certain activities, or from the Camp entirely, where full information has not been provided or where the Club reasonably believes it cannot safely meet the child’s needs.
6.4 Where medication is required during Camp hours, parents/guardians must provide clear written instructions. The Club may decline to administer medication and may require medication to be administered by a parent/guardian or authorised third party.
6.5 Fleet Town FC Football Camps operate as a nut-free environment. Parents/guardians must not provide packed lunches, snacks or food containing nuts.
7. Emergency Medical Treatment
7.1 In the event of illness or injury, appropriately trained staff may administer basic first aid.
7.2 Parents/guardians authorise the Club to seek emergency medical treatment where necessary.
7.3 Any associated medical or transport costs remain the responsibility of the parent/guardian.
8. Collection, Attendance and Supervision
8.1 Children remain the responsibility of their parent/guardian outside published Camp hours.
8.2 Parents/guardians must ensure children are signed in and collected promptly.
8.3 Children will only be released to authorised persons named on the booking form unless alternative arrangements have been agreed with the Club.
8.4 Parents/guardians must inform the Club if their child will not be attending a booked session.
8.5 If a booked child does not arrive and the Club has not been notified, the Club may attempt to contact the parent/guardian and emergency contacts.
8.6 Persistent late collection may result in additional charges or refusal of future bookings.
8.7 Late collection charges may be applied at £8 per child for every 15 minutes, or part thereof, after the published collection time.
9. Behaviour and Conduct
9.1 Children must:
- Respect staff, coaches, volunteers and other children.
- Follow instructions.
- Refrain from abusive, discriminatory, aggressive or dangerous behaviour.
- Show good sportsmanship.
- Treat equipment and facilities with respect.
9.2 Parents, guardians and spectators must:
- Behave respectfully.
- Avoid abusive language or conduct.
- Follow staff instructions.
- Support all children positively.
9.3 The Club reserves the right to remove, suspend or exclude any child, parent, guardian or spectator whose behaviour is considered unacceptable, unsafe or disruptive.
9.4 Where a child is removed, suspended or excluded due to behaviour, no refund or credit will be due.
10. Safety and Participation
10.1 Football is a physical activity and carries inherent risks of injury.
10.2 Parents/guardians acknowledge these risks and accept that participation is at the child’s own risk.
10.3 Children must wear suitable clothing and footwear for football activity.
10.4 Appropriate sized shin pads are compulsory.
10.5 Jewellery and watches should not be worn during activities. The Camp is not responsible for jewellery, watches or valuables brought to Camp. A locked safe will be provided where items can be stored if required, but all items remain the responsibility of the parent/guardian and child.
10.6 Staff may prevent a child from participating where they believe it would be unsafe for the child or others.
11. Staff Ratios and Grouping
11.1 The Club will operate appropriate staff-to-child ratios based on the age of children, activity type and operational requirements.
11.2 Children will be grouped appropriately where possible.
11.3 The Club reserves the right to adjust groupings, activities or staffing arrangements to maintain safety and the smooth running of the Camp.
12. Programme Changes
12.1 The Club reserves the right to amend activities, timings, content, venues or coaching arrangements where necessary.
12.2 Changes may be made due to weather, pitch conditions, staff availability, equipment issues, safety concerns or other operational reasons.
12.3 No refund or compensation will be due where reasonable programme changes are made.
13. Severe Weather and Venue Closure
13.1 Sessions may be adapted, delayed, moved indoors or cancelled where weather or venue conditions make normal activity unsafe.
13.2 The Club shall not be liable for cancellations, interruption or changes caused by circumstances outside its reasonable control, including:
- Extreme weather.
- Flooding.
- Fire.
- Utility failure.
- Facility closure.
- Government restrictions.
- Infectious illness outbreaks.
- Other events beyond the Club’s control.
13.3 Where the Club is forced to close or cancel for reasons outside its control, refunds or credits may be offered at the Club’s discretion.
14. Personal Property and Lost Property
14.1 All personal belongings are brought to Camp at the owner’s risk.
14.2 Fleet Town Football Club Ltd accepts no responsibility for lost, stolen or damaged items.
14.3 Children are discouraged from bringing valuables, toys, phones, watches, jewellery or electronic devices.
14.4 Lost property will be kept for a reasonable period only. Unclaimed items may be donated, disposed of or recycled.
15. Photography and Video
15.1 Fleet Town FC and its authorised representatives may take photographs and videos for:
- Social media.
- Website content.
- Promotional materials.
- Press and marketing purposes.
15.2 Parents/guardians will be asked to provide photography consent during the booking process.
15.3 Parents/guardians may opt out of photography. Reasonable efforts will be made to respect this.
15.4 Parents, guardians and spectators must not publish photographs or videos of children other than their own without appropriate consent.
16. Safeguarding
16.1 Fleet Town FC Football Camps are committed to safeguarding and promoting the welfare of children.
16.2 Any safeguarding concerns should be reported immediately to a member of staff.
16.3 Staff, coaches and volunteers are expected to follow the Club’s safeguarding policies and procedures at all times.
16.4 Where the Club has concerns about a child’s welfare, it may take appropriate action in line with safeguarding procedures. This may include contacting parents/guardians, relevant agencies or the appropriate authorities.
17. Staff, Coaches and Volunteers
All staff, coaches and volunteers agree to:
- Act professionally and respectfully.
- Place the welfare of children first.
- Follow Club safeguarding procedures.
- Maintain appropriate boundaries with children.
- Never use inappropriate language or behaviour.
- Report safeguarding concerns immediately.
- Follow health and safety procedures.
- Represent Fleet Town FC positively at all times.
18. Insurance and Liability
18.1 Fleet Town Football Club Ltd maintains appropriate insurance cover for its activities.
18.2 Nothing in these Terms excludes liability for death or personal injury caused by negligence.
18.3 To the fullest extent permitted by law, Fleet Town Football Club Ltd shall not be liable for:
- Loss of property.
- Damage to personal belongings.
- Indirect losses.
- Consequential losses.
- Costs arising from cancellation, interruption or non-attendance.
19. Data Protection
19.1 Personal information will be held and processed in accordance with UK GDPR and applicable data protection legislation.
19.2 Information supplied will be used for:
- Camp administration.
- Booking management.
- Welfare and safeguarding.
- Emergency contact purposes.
- Medical and care requirements.
- Club communications where consent has been provided.
19.3 Personal information will only be shared where necessary for the safe and effective running of the Camp, or where legally required.
20. Complaints
20.1 Fleet Town FC aims to provide a safe, positive and enjoyable Camp experience.
20.2 Any complaint should be raised with the Camp lead or Club representative as soon as possible.
20.3 If the matter cannot be resolved informally, complaints should be submitted in writing to Fleet Town Football Club Ltd.
20.4 The Club will review complaints fairly and respond as soon as reasonably possible.
21. Policies and Procedures
21.1 Copies of relevant Club policies may be made available on request.
21.2 These may include safeguarding, behaviour, health and safety, photography, data protection and complaints procedures.
22. Acceptance
By completing a booking, parents/guardians confirm that:
- They have read and accepted these Terms & Conditions.
- The information supplied is accurate and complete.
- They understand the risks associated with football activity.
- They consent to emergency medical treatment being sought if required.
- They agree to follow Club policies, procedures and staff instructions.
- They understand that failure to comply may result in their child being excluded from the Camp without refund.
